What it does

  • Auto-Generates Material Requests (MRs): Converts production material shortages into procurement requests
  • Syncs Real-Time Data: Updates MRs when production plans change (e.g., Valdana Bread batch increased from 5k to 7k loaves)
  • Tracks Procurement Status: Monitor MR → Purchase Order → Receipt workflow within production plans
  • Prioritizes Urgent Needs: Flags critical shortages (e.g., yeast for Valdana Bread)

Prerequisites

  1. **Active Production Plans **
    • Created in Manufacturing > Production Plan (e.g., “June Ovita Waters Run”).
    • Status: “Draft” or “Submitted”
  2. **Material Shortages Identified **
    • Run “Get Raw Materials” in Production Plan to detect shortages
  3. Procurement Setup
    • Default Suppliers: Assigned to raw materials (e.g., Yeast Supplier for Valdana Bread)
    • Buying Roles: Users with permissions for Stock > Material Request

Steps to Integrate Production with Material Requests

Step 1: Auto-Generate MRs from Production Plan

  1. Open Production Plan (e.g., “Valdana Bread Batch #24”)
  2. Click Get Raw Materials → System calculates shortages:
    MaterialRequiredAvailableShortage
    Flour500 kg300 kg200 kg
    Yeast20 kg5 kg15 kg
  3. Click Create Material Request:
    • MR Type: “Purchase”
    • Set Priority:
      • High (for critical items like yeast)
      • Medium/Low (for non-urgent items)
  4. Submit → MRs auto-generated with:
    • Production Plan link
    • Required By Date (aligned with production schedule)

Step 2: Track MR Status in Production Plan

  1. Reopen Production PlanRaw Materials Table:
    • New column: Material Request Status
      MaterialShortageMR Status
      Flour200 kg✅ PO Created
      Yeast15 kg🟡 MR Pending
  2. Click MR links to:
    • View procurement progress
    • Resubmit if rejected

Step 3: Receive Materials Against MR

  1. When goods arrive:
    • Create Purchase Receipt (Stock > Purchase Receipt > New)
  2. Link to MR:
    • Select MR (e.g., “MR-YEAST-024”)
    • System auto-populates items/quantities
  3. Receive Stock:
    • Warehouse: Raw Material Warehouse
    • Batch/Expiry: Record for perishables (e.g., yeast)
  4. Submit → Production Plan updates:
    • Available Qty increases
    • MR status changes to ✅ Received
